    A founder pricing an outbound stack for the first time usually works from four or five vendor pages open in tabs, and the numbers on those pages do not agree on what a "plan" even is. One sells seats, one sells credits, one sells mailboxes, and one shows no number at all until a sales call. Setting a budget from that is guesswork unless there is a baseline for what these tools normally charge.

    This study supplies the baseline. RevenueFlow maintains a dataset of vendor pricing records, each one read from the vendor's own pricing page and dated. As of September 2026 it holds 386 tools across five categories: email sending, data enrichment, email warmup, CRM and sales engagement. Every figure below was computed from those records by script, and the method is written out at the end so the numbers can be checked.

    The headline: among the 312 tools that publish a subscription price, the median starting price is $39.98 a month. Half of all tools start between $19.98 and $69.99. The average is $102.46, which says more about a handful of enterprise data contracts than about what a normal buyer pays, so this study reports medians and quartiles throughout.

    What counts as a starting price

    A starting price here is the lowest monthly-equivalent figure among a tool's paid subscription tiers. A month-to-month price counts as printed. A per-month rate that a vendor shows only for its annual plan also counts as printed, and is flagged as an annual-plan rate. A yearly total is divided by twelve. Free tiers, one-time credit packs, metered rates and "contact sales" tiers are not starting prices, and they are counted separately further down.

    Two caveats matter before reading any table. First, a starting price mixes flat prices and per-seat prices on purpose: it is the smallest monthly bill the page offers to one buyer, which is the question a budget actually asks. Second, only 80.8% of the 386 tools publish a subscription price in US dollars at all. The rest sell by quote, by usage, or showed a non-dollar currency when the record was verified.

    Email sending is the cheapest category to enter and sales engagement is the most expensive, by a factor of three at the median.

    A few readings of that table are worth spelling out.

    Email sending tools start at a median of $25, and a quarter of them start at $11.06 or less. This is the category where transactional senders, mail merge add-ons and cold email sequencers sit side by side, and the low end is mostly the first two groups.

    Data enrichment has the widest spread. The median is $49, the 75th percentile is $98.50, and the mean is $160.02 because the category includes account-intelligence products sold on five-figure annual contracts. A buyer comparing an email finder with a signal platform is comparing two different price classes that happen to share a category label.

    CRM and email warmup land almost on top of each other at the median ($29.50 and $29), but they are priced on different units. CRM entry tiers are usually per user, so a five-person team pays five times the figure in the table. Warmup entry tiers are usually per mailbox, and a cold email program runs many mailboxes.

    Sales engagement starts at a median of $75 and its 75th percentile is $160. It is also the category least likely to show a price at all, which the disclosure section below covers.

    More than a third of priced tools (36.2%) start between $25 and $49.99 a month, and another 20.8% start between $50 and $99.99. Put together, 29.2% start under $25 and only 13.8% start at $100 or more. Of the 23 tools that start at $250 or above, 13 are data enrichment products and 7 are sales engagement platforms, mostly account-intelligence services and AI sales agents whose entry tier already assumes a team and a pipeline target.

    The practical use of this distribution is as a sanity check. A sequencer quoting $39 a month is priced like its peers. A sequencer quoting $300 a month as its entry tier is making a claim about being a different kind of product, and the feature list should support that claim.

    How prices climb from tier to tier

    The typical ladder among 167 tools with three or more priced tiers: the first three rungs roughly double, and a fourth tier, where one exists, is steeper.

    Among the 167 tools with at least three priced subscription tiers, the median first tier costs $39 a month, the second $75 and the third $135. The bill roughly doubles at each of those steps. The 45 tools with a fourth priced tier ask a median of $369 for it, a steeper jump.

    The top published tier costs a median of 4.74 times the entry tier, and for the middle half of tools that multiple runs from 2.79 to 8.02. That is a useful planning number. A team that picks a tool on its entry price and then grows into the top self-serve plan should expect to pay about five times the figure it first budgeted, before any enterprise conversation begins.

    Across all priced tools, the most expensive published tier has a median price of $99 a month. By category the median top tier is $199 for sales engagement, $189 for data enrichment and $89 for CRM. Pricing pages are also remarkably uniform in shape: 71.8% of all 386 tools present either three or four tiers.

    What a pricing page gives away before any sales call, by category.

    Three facts about disclosure stand out.

    A free tier is common but unevenly spread. 155 of 386 tools (40.2%) list a $0 tier. In data enrichment the share is 58.3%, because free credits are the standard way to let a buyer test match rates. In email warmup it is 15.0% and in sales engagement 18.0%.

    A quote-only tier is nearly as common as a free one. 172 tools (44.6%) have at least one tier that can only be bought through sales, usually labelled Enterprise or Custom. In sales engagement the share reaches 70.5%, and 15 of the 61 sales engagement tools publish no price of any kind. CRM is the most open category on this measure, with 29.0% of tools carrying a quote tier and none hiding every price.

    Usage pricing is a data-tool phenomenon. 58 tools sell at least one pay-as-you-go pack or metered rate, and 47 of them are data enrichment or verification tools. Those prices are not comparable with a monthly subscription, so they are left out of the starting-price tables here.

    Per seat or flat

    Across all priced tools, 27.2% of entry tiers are priced per seat. The category split is stark: 75.0% in CRM, 42.2% in sales engagement and 8.1% in email sending. For a solo operator the distinction is invisible. For a team of five it is the difference between the number in the table and five times that number, so a per-seat CRM at $29 costs that team $145 a month, more than a flat-rate sequencer at $97.

    Billing basis hides a second multiplier. Of the 792 priced subscription tiers in the dataset, 80.4% are recorded at a month-to-month rate, 16.7% at a per-month rate that applies only on an annual plan, and 2.9% as a yearly total. 53 tools publish no month-to-month price anywhere, so the figure on the page is only available to a buyer who commits for a year.

    The cheapest and the most expensive entries

    Named examples make the quartiles concrete. Each is quoted from the vendor's own pricing page as it stood on the verification date, and vendors change prices often.

    At the low end: Vocus.io (Basic, $5 a month, verified 2026-09-01) and Mailmeteor (Starter, $5.99 a month per seat, verified 2026-08-28) in email sending, SafetyMails (Monthly subscription 1,000 credits, $6.80 a month, verified 2026-09-04) and Evaboot (100 credits/mo, $9 a month, verified 2026-09-01) in data enrichment, Freshsales (Growth, $9 a month per seat on the annual plan, verified 2026-08-28) and Bigin by Zoho CRM (Express, $9 a month per user, verified 2026-09-04) in CRM, and Unify (Base, $20 a month per seat, verified 2026-09-01) in sales engagement.

    At the high end of starting prices: UserGems (Core, $3,333 a month on an annual contract, verified 2026-09-01) and Common Room (Essential, $2,500 a month billed annually, verified 2026-09-01) in data enrichment, Coldreach (Starter, $899 a month, verified 2026-09-04) in sales engagement, EmailBison (Base Plan, $599 a month, verified 2026-09-04) in email sending and Lightfield (Pro, $1,000 a month, verified 2026-09-04) in CRM. None of these is overpriced on the evidence of a pricing page alone. They are sold to a different buyer.

    Budgeting a five-tool stack from the medians

    One tool from each category at that category's median starting price adds up to $207.50 a month: $25 for sending, $49 for data, $29 for warmup, $29.50 for CRM and $75 for sales engagement. At the 25th percentile of every category the same stack costs $126.06, and at the 75th percentile it costs $386.50.

    Most small outbound teams do not run a separate sales engagement platform on top of a sequencer. Without that line, the median stack is $132.50 a month. These are single-seat, single-mailbox, entry-tier figures, so they are a floor. Seats, mailboxes and credit volume are the three things that move a real bill away from it, and the tier ladder above shows how quickly.

    Software is also the smaller half of what an outbound program costs. Lists, copy, deliverability work and reply handling take the time. Teams that would rather buy the outcome than assemble the stack can see how RevenueFlow runs it on a free campaign.

    Methodology

    Population. The 386 tools in RevenueFlow's verified vendor dataset as of September 2026: 305 records published in the site's tool data and 81 further records verified against vendor pages and awaiting publication. Every record carries the URL of the vendor page it was read from and the date it was verified. Verification dates run from 2026-08-28 to 2026-09-05.

    Exclusions. 7 records were left out: five whose last verification predates August 2026 and whose prices could not be re-verified, one duplicate listing of a vendor that appears in two categories, and one product listed under two brand names. Tiers with no billing basis recorded were not used.

    Definitions. A subscription tier is a tier with a public US dollar price above zero, billed monthly, billed annually and quoted per month, or billed as a yearly total (divided by twelve). A starting price is the lowest such figure for a tool. Quartiles use linear interpolation between order statistics, the same convention as a spreadsheet's inclusive quartile function.

    Checks. The headline counts and every category median were recomputed by a second method, a separate reader over the raw record files that shares no code with the first, and the two agreed on all 27 comparisons.

    Limits. The dataset covers tools RevenueFlow has written about, which skews toward outbound sales and away from enterprise suites that publish nothing. Prices are list prices from public pages. Negotiated discounts, regional pricing and promotions that were not on the page at verification are not captured. A tool with no public dollar price is absent from the price tables, so the medians describe the priced part of the market.
