Sender reputation is the receiving side's overall judgment of you as a source of email. It is composed of the reputation of the domains you send from and the reputation of the IP addresses you send through, together with your authentication results and your complaint history. Mailbox providers form it privately, hold it per sender, and act on it at the moment your mail arrives.
It is an umbrella term. That is its usefulness and it is also the source of nearly every mistake made with it.
The components, and where each one is observable
Four things sit under the umbrella, and they behave differently enough that treating them as one thing produces wrong answers.
Domain reputation is the judgment attached to the domain in your From address. It is slow to build, slow to shed, and it travels with the domain across any change of infrastructure. It is the component that carries the most weight for a business sender and the component a sender has the most direct influence over.
IP reputation is the judgment attached to the address your mail connected from. It moves faster than domain reputation in both directions, and it resets when the IP changes. On a shared sending pool it is not really yours at all: it is the aggregate behaviour of everyone else sending through the same address.
Authentication results are the pass or fail record of SPF, DKIM and DMARC alignment on the mail the provider actually received. These are the only component that is binary, immediate and fully under your control, which makes them the cheapest thing to get right and the least excusable thing to get wrong. Complaint and engagement history is the behavioural record: who pressed the spam button, who replied, who rescued you from the spam folder, and how many addresses you attempted that did not exist. This is the input that actually moves the other components.

How the four combine is not published by any provider, and any article that gives you a weighting is inventing it. What can be said with confidence is the direction of the dependencies. Authentication is a gate rather than a contributor: failing it does not lower a score so much as remove the provider's ability to attribute anything to you reliably, which pushes every other judgment towards caution. Complaints and invalid recipients are the inputs, the raw behavioural evidence. Domain and IP reputation are the accumulations that evidence feeds into, one slowly and one quickly. So the mental model that survives contact with reality is a behavioural record flowing into two stores of judgment, gated by whether the provider can prove the mail is yours at all.
The observability of each component differs just as sharply, and this is where most reasoning about the term goes astray. Authentication you can verify yourself in minutes against your own DNS. Where it gets applied
Sender reputation is not consulted once. It is consulted repeatedly along a path that most senders picture as a single event.

The receiving server decides whether to accept the connection at all, and at what rate it will take mail from this source right now.
- Step 2At acceptance
The message is accepted, deferred with a temporary refusal, or refused outright. A success code means custody was taken and nothing more.
- Step 3At filing
The message is placed in the inbox, a secondary tab, or the spam folder. This decision is never reported back to the sender.
Reading that path in order also settles an argument that comes up constantly, about whether reputation controls delivery or placement. It controls both, at different points, through different mechanisms, and the two produce completely different symptoms. A reputation bad enough to affect the connection shows up as refusals and throttling you can count. A reputation merely poor enough to affect filing shows up as silence.
Only the middle step produces a signal you can read in your own reporting. The first step shows up as throttling and deferrals, which most tools flatten into a bounce statistic. The third step produces nothing at all. So the majority of what your sender reputation is doing to you happens outside your instrumentation, which is why the term attracts so much folklore.
Volume shape feeds the first step in particular. Google's sender guidelines put it plainly: "Send email at a consistent rate. Avoid sending email in bursts." A receiving provider that has learned your normal shape treats a sudden departure from it as new information about you, independently of whether the mail is any good. Where it breaks
The phrase implies a score, and no such score exists
"Sender reputation" is used in conversation as though it named a measurable quantity, the way a credit score does. It does not. There is one private judgment per receiving provider, formed on that provider's own users, and no cross-provider number is computed anywhere by anyone.
Branded scores make this worse rather than better, because they supply the missing number and it looks authoritative. Sender Score is the best known of them, and the important thing about that family of products is what they actually rate: the behaviour of a sending IP address, observed from outside, over a rolling window. That is a real measurement of a real thing. It is one component of four, and it is the component least connected to the domain identity your recipients see.
Now put that next to how cold outbound is typically built. A cold programme runs on mailboxes bought from a provider or a reseller, sending through infrastructure the programme does not own, on IP addresses shared with other senders it has never met and cannot audit. The IP-level number is therefore the component the programme controls least, and it is simultaneously the only number the programme can look up for free. The most visible metric is the least actionable one, and effort spent moving it is mostly effort spent hoping the other tenants behave.
The corrective is not to ignore the branded score. It is to stop treating it as a summary. Read it as a reading on one component, ask what it says about the pool your mailboxes sit in, and keep the components you actually own on separate instruments. Good reputation is always a question of good with whom
The second break is a grammatical one that changes the diagnosis. "We have a good sender reputation" is an incomplete sentence, because the judgment does not exist in a general form. It exists once per receiving provider, and the providers do not agree, do not share, and do not weight the same signals the same way.
This matters more than it sounds. Two receiving providers looking at identical mail from identical infrastructure can reach different conclusions, because their user populations behaved differently towards you, because one of them weights complaints harder, or because one of them has data on your domain that the other has never seen. A sender whose list skews towards one large provider is being judged almost entirely by that provider, and a clean reading there says nothing at all about the rest of the list.
There is a sharper version of the problem for anyone selling into a market with a dominant corporate mail platform. A list of enterprise contacts can be overwhelmingly hosted by one platform even when the addresses span hundreds of different domains, because the domains are customers of the same infrastructure. Your effective exposure is therefore far more concentrated than your list looks, and a judgment formed by that one platform governs most of your outcome regardless of how many company domains you are writing to.
So every reputation metric worth reading is split by receiving provider before it is read. Two things follow, and both are structural rather than tactical.
The first is that reputation is a portfolio property rather than a per-mailbox one. Because the components move at different speeds and are shared to different degrees, a programme concentrated on a thin sending base has every signal riding on the same few identities, and one bad batch takes the whole thing down together.
